Key Responsibilities:
- Front Desk Operations:
- Serve as the first point of contact for clients, visitors, and callers, offering a warm and professional welcome.
- Answer and direct incoming phone calls to the appropriate staff members, taking accurate messages when necessary.
- Client Interaction:
- Greet clients and visitors in a courteous and helpful manner, ensuring they are directed to the appropriate department or meeting room.
- Assist clients with general inquiries and provide basic information about the firm's services.
- Appointment Scheduling:
- Manage the firm's appointment calendar, scheduling and confirming appointments for clients with solicitors and other team members.
- Notify staff members of upcoming appointments and ensure meeting rooms are prepared.
- Administrative Support:
- Provide administrative assistance, including photocopying, scanning, filing, and organizing documents as needed.
- Assist with the distribution of incoming and outgoing mail and packages.
- Communication Management:
- Monitor and respond to emails, inquiries, and messages received through the firm's general email account.
- Maintain a professional and organized email correspondence with clients and colleagues.
- Office Maintenance:
- Ensure the reception area is neat, tidy, and presentable at all times.
- Coordinate with facilities management for any maintenance or repair needs in the reception area.
- Team Collaboration:
- Collaborate with other support staff and team members to ensure effective communication and coordination.
Qualifications and Requirements:
- High school diploma or equivalent.
- Proven experience as a receptionist or in a customer service role.
- Excellent verbal and written communication skills, with a friendly and professional demeanor.
- Strong organizational skills and attention to detail.
- Proficiency in using office software (MS Office suite) and handling office equipment (phone system, photocopier, etc.).
- Ability to handle a high volume of incoming calls and manage multiple tasks simultaneously.
- Strong interpersonal skills and the ability to interact positively with clients, visitors, and colleagues.
- Discretion and confidentiality when handling sensitive information.
